Reference File Phase Out
On July 1, 2011, it will be the policy of Career Services to purge reference files that have had no “activity” for 10 consecutive years.
Activity is defined as:- Having added new reference letters, or
- Having the file processed and sent out for graduate school or employment purposes (excluding transferring the file to Interfolio).
Active files will continue to be housed for a maximum period of 10 years. Career Services suggests that students/alumni with letters on file create an account with Interfolio
, a web-based reference file management service, and request to have their letters transferred as soon as possible.
Reminder: Career Services can only support requests made by students/alumni to have their files transferred to Interfolio or to obtain copies of their non-confidential letters.

As of July 1, 2010, the University at Buffalo Career Services office has ceased operation of the Reference File service.
Career Services suggests that students/alumni create an account with Interfolio, a web-based reference file management service. Interfolio allows you to create an electronic reference file that you can manage 24 hours a day, 7 days a week.
Existing File Holders: As of July 1, 2010, Career Services will only support requests made by students/alumni to have their files transferred to Interfolio or to obtain copies of their non-confidential letters. To transfer your current file to Interfolio, first create an account at www.Interfolio.com
. Once your Interfolio account is opened, make a formal request to have your Career Services file sent to Interfolio. Career Services will fill your request free of charge. Be sure to include your Interfolio account username (your email address) on your request.
We believe you will find Interfolio to be a convenient and efficient resource to manage your references online. Here are some of the benefits of this service:
- Ease of use: Once you create an Interfolio account, you may store and manage both confidential and non-confidential letters. You can also store nearly any type of document with Interfolio: writing samples, articles, test scores, unofficial transcripts, and whatever you need to have a complete application package. You can upload documents directly into your account or mail them to Interfolio and they will upload them for you. Your authors (letter-writers) can upload letters of recommendation directly or you can add non-confidential documents yourself.
- Customized deliveries: You can specify which documents to send for each request and the order in which your materials are packaged.
- Turnaround speed: Interfolio processes all delivery requests in one business day. It offers multiple mailing/delivery options, including FedEx and email/electronic delivery (where available). In addition, Interfolio will work with the WNYRIC and Monroe-2-Orleans BOCES applicant tracking systems. Additionally, help requests received via email (help@interfolio.com) will be answered within one business day.
- Email notification: Interfolio will notify you when they receive a letter for your account.
- Affordability: Interfolio has affordable prices including electronic or paper copy deliveries. A variety of delivery methods are available. You can pay online, using a credit card, or by check, or money order.
- Security and reliability: Interfolio uses technological safeguards, including multiple levels of encryption and digital backups stored at a secure, off-site location to keep your stored documents protected, secure, and private. A rigorous quality control process ensures the accuracy of all documents and mailings. After careful consideration, Career Services has decided to cease operation of its Reference File service as of July 1, 2010. Career Services suggests that students/alumni create an account with Interfolio, a web-based reference file management service. Interfolio is well established as the premier online reference/credentials management service for candidates applying for graduate school, academic positions, or other areas of employment. Interfolio allows individuals to create an electronic reference file (for inclusion of both confidential and non-confidential letters) that can be self-managed 24 hours a day, 7 days a week. File holders can specify which letters to send for each request and the order in which their documents are packaged. All delivery requests are processed in one business day with multiple delivery options available, including FedEx and email/electronic delivery (where available). In addition, Interfolio will work with school district applicant tracking systems.

Convenience and Ease of Use:
- Authors can upload their documents electronically into Interfolio’s system or mail letters directly to Interfolio.
- Authors retain access to uploaded documents. A free Interfolio writer's account (optional) gives authors access to all their uploaded documents. Authors can easily make updates to documents they have written.
- Students/alumni request Interfolio to mail or electronically transfer documents as part of their application process.
Reliability and Security:
- Interfolio manually reviews every letter once upon receipt and again prior to delivery to ensure accuracy and legitimacy.
- Authors can personally verify the authenticity of documents they upload electronically through their own accounts.
- Interfolio is FERPA-compliant and uses multiple layers of technological security to ensure that confidential documents stay that way. Students cannot read confidential letters.
- Technological safeguards, including SSL encryption, keep stored documents secure and private. Digital backups are stored at a secure, off-site location to further protect important documents.
